Affecto implemented Metla’s new information management solution in record time
Affecto has finished a two-year information management solution project for Finnish Forest Research Institute (Metla).
As a part of the project, Affecto carried out the delivery and implementation of Metla's document and content management system in record time: the new registry system was already in use within one month of signing the delivery agreement.
”From our perspective, the Metla project was exemplary. We delivered the information management solution to the client straight away after making the agreement. Moreover, the client’s special demands for the solution were implemented shortly after delivery,” says Ray Byman, Affecto Finland’s Country Manager.
Affecto was in charge of the implementation project and software that takes care of the registration of the matters handled by the organisation, as well as the electronic management of documents related to them and of all other Metla documents. Metla has a pool of over 10 million files.
”The new solution enables us to meet many legal obligations set for us more efficiently. The system meets the requirements of the Archives Act, and our document management transparency is improved. It is now easier to both find and use information,” says Hannu Raitio, Director General of Metla.
In the new system, Metla's entire personnel has easy and efficient access to documents and the register of matters in-progress. Thanks to the new system, Metla’s document management covers the entire country. Processing information between teams is also easier.
”The new system changes Metla’s organizational culture as a whole. Earlier, everyone created their own documents. As a result many documents and the information in them were only available to a few people. Now the information can better be accessed by the entire organization. Thanks to this, even tacit knowledge can be put to better use in our organization. Furthermore, it is easier to work on the documents collaboratively,” affirms Raitio.
Making information accessible for the whole organization and passing on tacit knowledge are especially important to Metla, as upcoming retirements will lead to changes in personnel.
”The system was adapted to meet the needs of our organization, and cooperation with Affecto went very well. The timing of implementing the system were also excellent, as we developed our other electronic services in the same timeframe,” sums up Raitio.
The delivery of the document management system was part of a two-year project, which also included specifying the system, preparing the documents, and training Metla's 1 000 strong personnel.
